SCOPE:
The consultancy project aims to empower the Shared Services Department (SSD) and the Office of the SSD Director to effectively meet departmental objectives, manage requirements, and support critical projects. At the organizational level, the initiative strives to ensure efficient, timely business operations by integrating diverse systems and non-standard processes with consistency and continuity.

This project focuses on delivering straightforward, efficient, and high-quality Administrative and HR support and management to maintain an organized, performance-driven environment within the department and the SSD Director’s office. The primary responsibilities include:

·         Providing comprehensive Administrative and HR operational support.

·         Delivering professional Administrative and HR services across a wide range of functions, including case management, onboarding, employee lifecycle and offboarding processes, correspondence preparation, customer query resolution, and report and documentation monitoring.

·         Managing the completion of assigned tasks and queries within individual and team workloads, ensuring seamless coordination and handoffs across sections.

·         Identifying needs, proactively seeking and delivering effective solutions to queries, and consistently ensuring excellent SSD service.

·         Collaborating proactively with SSD colleagues and stakeholders to guarantee timely and professional fulfillment of departmental requirements.

·         Supporting and driving continuous improvement initiatives aimed at enhancing processes and systems.

·         Conducting research, preparing documentation, reporting, and technical writing.

·         Managing department projects and overseeing both routine operations and special or interim projects within the Shared Services Department.

·         Facilitating employee engagement, training, and development activities.

·         Managing internal and external communications.

·         Leading project planning and simulation activities.

·         Overseeing the overall management of department projects and activities.

·         Providing skilled management support to the SSD Director.

Qualifications:

  • Education:
    Bachelor’s degree in Business Administration, Human Resources, Public Administration, or a related field. Relevant professional certifications (e.g., CIPD, PMP) are an advantage.
  • Experience:
    Minimum of 8 years of extensive experience in administrative and HR support roles, preferably within a Shared Services environment or a comparable corporate setting. Proven track record in managing projects and providing support to senior management is highly desirable.
  • Technical Skills:
    • Proficiency in HR information systems (HRIS), case management tools, and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong skills in documentation, reporting, and technical writing.
    • Experience with project management software/tools is a plus.
  • Core Competencies:

    • Excellent interpersonal and communication skills, with demonstrated ability to collaborate with colleagues and stakeholders at all levels.
